Common issues and resolutions

Welcome to the troubleshooting guide for the Spinf AI Assistant. This document aims to help you resolve common issues you may encounter while using our service. We've organized this guide by specific problems and their potential solutions to ensure you can quickly find the information you need.

Audio Capture Issues

Issue: Audio Not Being Captured

Symptom: After starting a session, the microphone level and system level bars do not light up, or no speech-to-text transcription occurs.

Possible Causes and Solutions:

  1. Incorrect Microphone Selection

    The default microphone may not always be the correct one for your setup. To resolve this:

    • Click the "Select Input" button on the Spinf Side Panel.

    • A pop-up will appear showing available microphones.

    • Select the appropriate microphone for your setup.

    Note: You may need to repeat this process if you add, remove, or change microphones or input sources.

  2. Low Microphone Input Level

    If the microphone input level is too low, the speech-to-text function may not receive enough signal. To adjust the input volume:

    On Windows:

    • Right-click the speaker icon in the taskbar and select "Open Sound settings".

    • Under "Input", select your microphone and click "Device properties".

    • Adjust the "Volume" slider to increase the input level.

    On Mac:

    • Open "System Preferences" and click on "Sound".

    • Select the "Input" tab.

    • Adjust the "Input volume" slider to increase the level.

  3. Microphone on Mute

    If you're using an external headset with a microphone, check that the mute button (if present) is not activated.

Audio Transcription Issues

Issue: Duplicated Speech-to-Text Transcription

Symptom: The speech-to-text transcription appears partially duplicated between the microphone and system audio.

Cause: Spinf currently disables browser echo cancellation, which can sometimes create problems in certain setups. This may result in the microphone capturing audio from your speakers, causing an echo effect.

Solutions:

  1. Use Headphones: The easiest way to avoid this issue is to wear a headset, which prevents the microphone from picking up speaker audio.

  2. Lower Speaker Volume: Reducing the volume of your speakers can help minimize the echo effect.

Note: We are currently working on re-enabling support for browser echo cancellation as an optional feature in future updates.

Prompt and Widget Issues

Issue: Unresponsive Prompt/Widget Buttons

Symptom: Clicking on a prompt or widget button during a session doesn't produce any result.

Possible Causes and Solutions:

  1. Insufficient Conversation Data

    The prompt may not have enough data to work with. Ensure that there is an ongoing conversation or sufficient historical data available.

  2. Lack of Knowledge Base Data

    Check if the relevant space or knowledge base has been properly populated with necessary information.

Page Import Issues

Issue: "Import this page" Button Not Working

Symptom: Clicking the "Import this page" button from the pop-up menu produces no result.

Cause: This typically occurs when you've just installed, refreshed, or updated the Spinf extension and are trying to import a page that was already open. The extension can only access tab pages opened after its installation or update.

Solution: Refresh the page you're trying to import and try the import action again.

Issue: Unexpected or Limited Content Import

Symptom: The "Import this page" button imports very little content or not what you expect.

Cause: While Spinf has been tested on a variety of online pages and services, some websites or web apps may be particularly difficult to import or are not currently supported (e.g., Google Docs is not yet supported, while Google Slides works).

Solutions:

  1. Report the Issue: Please inform our support team about specific websites or services that aren't importing correctly. This helps us improve Spinf's compatibility.

  2. Manual Import Workaround:

    • Open the Space management interface.

    • Select the desired space.

    • Click the 3 dots menu and choose "Input Text".

    • Cut and paste the relevant content to be imported.

    Note: The content doesn't need to be perfectly formatted or cleaned up; the system usually works well regardless.
